FleetGuard is used to manage vehicles (trucks and trailers), inspections, compliance, mechanics, and maintenance records. By using FleetGuard, you agree to the practices described here.

2. Information We Collect
  • Account information: Name, email, and login credentials for admin and mechanic users.
  • Vehicle data: Unit numbers, VINs, vehicle type (truck/trailer), status, and related details for fleet units.
  • Inspection data: Inspection dates, answers (pass/fix/fail), categories, questions, notes, and photos attached to inspections.
  • Mechanic and assignment data: Which mechanics performed or are assigned to inspections.
  • Maintenance & costing data: Maintenance type, date, description, parts cost, labor cost, vendor, and attachments for each vehicle.
  • Compliance data: Last inspection dates, next due dates, overdue and due-soon status for compliance tracking.

This data is necessary to operate FleetGuard, run reports, and meet compliance requirements.

3. How We Use Your Information

Information in FleetGuard is used to:

  • Manage the fleet (vehicles, mechanics, inspections, and maintenance records).
  • Track compliance (monthly completion, overdue, due soon) and support audit requirements.
  • Generate inspection reports, vehicle reports, fix/fail reports, and maintenance spend reports (including PDF and CSV exports).
  • Display dashboard KPIs (fleet units, completed inspections, due soon, overdue, fix required, fail count).
  • Authenticate users and control access to the system.

Data is used only for operating and improving FleetGuard and related fleet and compliance processes.

4. Data Security

We take reasonable measures to protect your data, including secure authentication, session handling, and access controls. Inspection and maintenance data (including photos where applicable) is stored within the system and used only as described in this policy. You are responsible for keeping your login credentials confidential.

5. Data Retention

Vehicle, inspection, compliance, and maintenance records are retained as required for operations and compliance. Your organization may have its own retention policies; contact your administrator for details.
